Property Manager
PRIMARY FUNCTION:
Directs and coordinates activities of on-site staff by performing duties personally or through subordinate supervisors. Responsible for all phases of the operation of a property including, but not limited to, residence life, leasing, general administration, maintenance, housekeeping, food service and telecommunications. To direct and control all personnel and resources to the end that the property is maintained, at all times, in good physical condition with a stabilized fiscal operation and satisfied customers.
PRINCIPAL DUTIES & RESPONSIBILITIES
- Responsible for all actions that involve/influence the property managed.
- Assumes accountability to the owner, client(s), and regulatory agencies that govern the interests of the property.
- Provides first-class customer service to residents; provides for a clean, safe, well-maintained property.
- Ensures that all resident requests are handled promptly.
- Promotes harmonious relations among residents, staff, campus personnel, and surrounding community.
-Establishes effective working relationships with safety and health officials.
- Builds a team of highly motivated, skilled and productive individuals who work well with others.
- Understands and carries out all company standards, policies and procedures in dealing with
owners, clients, residents, employees and contractors.
- Reviews occupancy reports to ensure that applications, leasing and assignment of dwelling units are in accordance with applicable laws, rules and regulations.
- Conducts surveys of local rental rates and participates in establishing rental rates according to current market conditions.
- Conducts analyses of operating expenses to determine items and methods for reductions.
- Plans/creates an innovative management plan describing the anticipated operation of the property, for defined fiscal periods, which includes an operating and capital budget.
- Studies housing demands relative to local enrollments, available housing, changing occupancies and new product developments; recommends new policies and physical changes as appropriate to remain competitive.
- Directs administrative work activities of office staff to process applications, to collect rents, to account for monies collected and/or receivables, and to respond to service requests.
- Organizes work assignments in order for staff to produce expected results. Establishes performance goals for the on-site staff and directs staff toward their completion.
- Coordinates and supervises activities of all contracted services, including, but not limited to pest exterminators, trash collectors and major repair contractors.
- Recommends employee hiring, transfers, promotions, terminations, and applicable compensation.
- Completes annual employee performance evaluations.
- Investigates resident disturbances, violations, and/or complaints; resolves problems in accordance with established laws and regulations.
- Keeps supervisors, clients and owners advised of significant operating problems and deviations from the management plan.
- Reports accidents, environmental issues and possible legal problems immediately.
- Prepares/reviews all periodic reporting, either routine or unscheduled.
- Physically inspects the property daily or assigns qualified personnel to perform the task in absence.
- Exercises effective risk management; identifies and corrects potential liability issues; minimizes exposure and losses.
- Participates in due diligence process if property is acquired/sold.
- Implements resident retention programs.
- Actively networks with local higher education officials for benefit of the property and its residents.
- Manages the property’s public relations through positive communication and interaction with residents, parents, college/university officials and the local community.
- Provides leadership, supervision and support for resident/community directors and student resident/community advisors.
- Supervises and trains student residence life staff; manages programming and resident supervision.
- Manages resident issues involving needs for mediation and adjudication.
- Manages resident unit transfers as needed; also manages evictions.
